Privacy Policy
How LED Dental Inc. handles information collected through our websites.
Effective date: [DATE] | Last updated: [DATE]
LED Dental Inc. makes the VELscope platform for dental and healthcare professionals. This policy explains what we collect through our websites, why we collect it, and how you can see, correct, or remove it.
1. What this policy covers
This policy applies to velscope.com and to the VELscope continuing education site at ce.velscope.com.
It does not cover:
- The VELscope Mantis mobile app. The app handles patient images and is governed by the VELscope Mantis App Privacy Policy.
- velscopeshop.com, which operates under its own terms.
- Third-party sites we link to. Our distributors, partners, and publications set their own privacy practices. We are not responsible for the content or the privacy practices of any site other than our own.
2. Information you provide
We collect what you choose to give us. Depending on what you do on the site, that can include:
Orders and product requests
When you place an order or request information, products, or services, we collect your name, practice name, email address, phone number, and shipping and billing addresses. We use this to fulfill and ship your order, to bill you, and to contact you about your order when necessary.
Payment information
Payments are processed by a third-party payment processor. Your card details are transmitted directly to that processor and are not stored on our servers. We retain a record of the transaction, such as the amount, date, and last four digits of the card.
Accounts and continuing education
If you create an account or enroll in a VELscope CE course, we collect your name, email address, password, practice information, and your course progress, quiz results, and completion records. Completion records are retained so that we can reissue certificates and verify credit if you or a licensing body requests it.
Device registration and support
When you register a VELscope device, request a demo, or contact support, we collect your contact details, practice information, device serial number, and whatever you tell us about your question or issue.
Feedback and surveys
Our surveys and feedback forms ask for contact information so that we can follow up when necessary. Responding is optional.
Practice Locator listings
If you choose to be listed on our Practice Locator, the practice information you submit, including practice name, address, phone number, and website, is published publicly so that patients can find you. You can ask to be removed at any time using the contact details at the end of this policy.
Where information is required rather than optional, we indicate that at the point where we ask for it.
3. Information collected automatically
Server logs and IP addresses
We log IP addresses to diagnose problems with our server, to administer the site, and to track a session so we can see which pages visitors use. We do not track you beyond sites owned and operated by LED Dental Inc., and we do not link IP addresses to anything personally identifiable. Sessions are tracked; the visitor stays anonymous.
Cookies
A cookie is a small data file a website writes to your device when you visit. A cookie cannot read data off your hard disk or read cookie files created by other sites. We use cookies to keep the site working correctly, to keep you signed in, to remember the contents of your cart, and to understand how the site is used through analytics. We do not store personal or sensitive information about you in cookies on our web server.
You can refuse cookies from any website through your browser settings. Turning off cookies may prevent parts of the site, including sign-in and checkout, from working.
4. How we use information
- To fulfill orders, process payments, and ship products.
- To provide continuing education courses and issue certificates.
- To provide product support, warranty service, and device registration.
- To respond when you contact us.
- To send product news, education announcements, and marketing to those who have asked to receive it.
- To operate, secure, and improve our websites.
- To meet our legal, tax, warranty, and regulatory obligations, including medical device reporting requirements where they apply.
5. When we share information
We do not sell your personal information.
We share information only in these situations:
- Service providers. Companies that host our sites, process payments, ship orders, deliver email, and provide customer support tools, acting on our instructions and only as needed to do that work.
- Distributors. If you request a demo, a quote, or product information, we may pass your inquiry to the authorized VELscope distributor serving your area so they can follow up.
- Legal and safety. When required by law, regulation, subpoena, or a government request, or to protect our rights, our customers, or the public.
- Business transfers. If LED Dental Inc. is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction.
6. Choices and opting out
You can opt out of marketing communications from us and our partners at the point where we ask for your information, or at any time afterward:
- Email marketing@velscope.com with "Unsubscribe" in the subject line.
- Use the unsubscribe link at the bottom of any marketing email.
- Submit the customer feedback form and include "Unsubscribe" in the message.
We will still send messages you need, such as order confirmations, shipping notices, support replies, and any safety or regulatory notice about a device you own.
If you previously authorized us to share your information with a third party, or to receive information from one, we cannot remove your information from that third party's lists. You will need to contact them directly.
7. Seeing and correcting your information
To review, change, or remove information you have given us:
- Email marketing@velscope.com.
- Submit the customer feedback form.
- Sign in to your account and update your details directly.
8. How long we keep information
We keep information for as long as it serves the purpose it was collected for, and then for as long as we are required to keep it. Order and transaction records are retained to meet tax and accounting requirements. Device registration and warranty records are retained for the life of the device and for the period required by medical device regulations. Course completion records are retained so that continuing education credit can be verified. Marketing contacts are retained until you unsubscribe.
9. Security
We use administrative, technical, and physical safeguards to protect information under our control, including encrypted connections across our sites and restricted access to systems holding customer information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Keep your account password confidential and tell us if you believe your account has been used without your permission.
10. Links to other sites
Our sites link to distributor, partner, publication, and social media sites. LED Dental Inc. is not responsible for the privacy practices or the content of any website other than our own. Read the privacy policy of any site you visit from ours.
11. Children
Our sites are intended for dental and healthcare professionals and for adults seeking information about oral health. They are not directed to children, and we do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
12. Where your information is handled
LED Dental Inc. is located in Canada. Information you submit is processed in Canada and the United States, which may have different data protection laws than the country you live in. Where required, we rely on appropriate safeguards for these transfers.
13. Your privacy rights
Depending on where you live, you may have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive a copy in a portable format, and to be free from discrimination for exercising any of these rights. These rights include those provided under the California Consumer Privacy Act and other US state privacy laws, PIPEDA in Canada, and the UK and EU General Data Protection Regulation.
To make a request, use the contact details below. We may need to verify your identity before we act. We do not sell personal information, so there is no sale to opt out of.
Requests about patient records, including images captured with a VELscope device, must go to the dental practice that treated you. We do not hold patient records and cannot act on those requests.
14. Changes to this policy
We may update this policy from time to time. The effective date above will be revised when we do. Material changes will be posted on this page.
